We design and make jewellery to individual order — engagement rings, wedding bands, and all other fine jewellery — for clients across the UK and worldwide. This Privacy Policy explains what personal information we collect, why we collect it, how we use it, and what rights you have over it.

 

We collect and use your information only to provide the bespoke jewellery service you have come to us for. We do not sell your data. We do not share it beyond what is necessary to make and deliver your piece.

2.2  Commission and contract information

When you proceed with a commission and sign a Commission Agreement, we collect:

     Full legal name and billing address

     Delivery address (if different)

     Commission brief details — agreed design, stone specification, metal, engraving text

     Written design and stone approval records

     Payment records — amounts paid, payment dates, and commission reference numbers

We do not store your payment card details. Card payments are processed by Stripe or your bank directly, under their own security standards. We hold only confirmation that payment was received.

 

2.3  Delivery information

To dispatch your finished piece, we collect your delivery address and phone number for courier notification. This is shared with our courier (DHL or Royal Mail Special Delivery, depending on destination).

 

2.4  Communications

Any correspondence you send us — by email, through our website contact form, WhatsApp, or Instagram direct message — is retained as a record of your commission or enquiry.

 

2.5  Photography consent

Once your commission is complete, we may ask whether you are happy for us to photograph the finished piece for our portfolio or social media. This is always optional. If you agree, we record your consent. If you decline or do not respond, we do not use your piece in marketing.

 

2.6  Website and device data

When you browse our website (aviediamonds.com), we and our service providers may automatically collect:

     Pages visited, time on site, and how you arrived at the site

4. Who We Share Your Information With

We share your personal information only where necessary and with the following parties:

 

Shopify

Our website and store are hosted on Shopify. Shopify acts as a data processor on our behalf and processes your data in accordance with our instructions. Their privacy practices are described in their privacy policy.

 

Couriers

We share your name, delivery address, and phone number with our courier to fulfil delivery. We use DHL for international shipments and Royal Mail Special Delivery for UK orders. We use couriers who provide tracked and insured services appropriate for high-value items.

 

Our goldsmith and workshop

To make your piece, we share the commission brief — which may include your first name and design details — with our trusted workshop. They process this information solely to fulfil your commission and are required to handle it in accordance with UK data protection requirements.

 

UK Assay Office

All pieces are submitted to a UK Assay Office for hallmarking under the Hallmarking Act 1973. We provide piece reference and metal specification information. Personal data is not routinely shared with the Assay Office.

 

Payment processors

Payment is processed via bank transfer or through Stripe, each of which operates under their own security standards and privacy policies. We do not hold your card details.

 

Analytics and advertising providers

If you have consented to analytical or marketing cookies, data about your website visit may be shared with providers such as Google Analytics or Meta (Facebook). This only happens after you have given consent through our cookie banner.

 

Legal and regulatory authorities

We may disclose your information where required by law, court order, or regulation, or to protect the rights and safety of À Vie Diamonds or others.

 

Business transfers

6. How Long We Keep Your Information

We keep your information only for as long as necessary for the purposes set out in this policy or to comply with legal obligations. Our standard retention periods are:

 

     Enquiry data (where no commission results): 6 months from last contact, then securely deleted.

     Commission files (design brief, CAD, approvals): 7 years from the date of delivery, for insurance, dispute, and warranty purposes.

     Financial records (invoices, payment confirmations): 7 years, as required by HMRC.

     Delivery information: Archived with the commission file for 7 years; physical delivery details not retained beyond that.

     Photography consent records: For as long as the image is in use, plus indefinitely as a record that consent was given. We never delete a consent record while the image is in active use.

     Marketing opt-in records: For as long as you remain subscribed, plus 2 years after unsubscription as a record of consent.

 

When retention periods expire, data is securely deleted or anonymised so that it can no longer be linked to you.

7. Cookies and Tracking Technologies

Our website uses cookies — small text files placed on your device — and similar tracking technologies. We use three types:

     Right to withdraw consent: Where we rely on your consent (for marketing emails, photography use, or analytics cookies), you can withdraw it at any time. Withdrawal does not affect anything we did while consent was in place.
